You've finally made the big call. Your admin and accounts work, that you've been doing yourself for months, is being delegated to someone else - and part of you is relieved. But there's another part that's wondering how anyone new is going to pick everything up properly, and how long you'll be stuck double-checking everything before you can fully let go.
It's a fair worry. Some hires will take months to find their feet, and you've got a business running in your head that nobody else has ever learned. It can help to know exactly what happens once you hand over the job description to us, rather than just being told 'it'll be fine'.
Week one: we learn your business
The role won't be fully running in the first week. Instead, our focus is on implementation and handover - getting into your systems, understanding how information moves through your business, working out who your key clients are and how they like to be dealt with, and pulling together every process that's currently living in your head.
It's also the week where what used to exist only in your head starts getting written down properly, so the role doesn't depend on one specific person being around to answer questions. Documenting it as we go is what makes week two possible at all.
Week two: the role starts running
By week two, the role is running. Your invoices are going out. Your inbox has someone watching it. The follow-ups that used to slip because you never had a spare hour are happening without you having to remember to chase them yourself.
That doesn't mean everything is as smooth as it'll be in three months. Your Role Manager is still learning the finer details of how you like things done. But the role itself is covered, and you're not the one covering it anymore.
What tends to surprise people is how thoroughly the role is covered, given how quickly it starts. There's no ramp-up where you're training someone and doing their job at the same time. There's no ad, no interviews, no waiting to see if the hire works out before you can actually rely on them.
Two weeks isn't as tight as it sounds
The obvious question is how anyone learns a business that fast. The answer is that we've been doing this since 2012, inside businesses that look a lot like yours, and the process isn't something we're improvising each time. Your Role Manager isn't working it out alone either - they're backed by a full team and by automation that handles the repeatable parts of the role, so the timeline doesn't depend on one person cramming two months of learning into two weeks.
If you're the one still doing this work yourself and you're not sure it's realistic to hand it over properly, book a chat with Brenna and we'll walk through what week one and week two would actually look like in your business.
