Everything You Need To Know Before Hiring a Virtual Assistant

Let’s be honest: hiring a virtual assistant can feel like a leap of faith.

You’re handing over access, responsibilities, and maybe even your credit card details, so it’s no wonder people hesitate. But if you’re still stuck doing everything yourself because you’re unsure how the VA setup actually works, you’re holding your business back.

On episode 44 of the Get Savvy podcast we take you behind the curtain. We’re answering the most common questions business owners ask us about working with a virtual assistant, and we’re keeping it real.

No, a VA Isn’t an AI Bot

Let’s clear this one up first. Despite what some might think, a virtual assistant is not a chatbot or AI tool. They’re real people, highly skilled professionals who work remotely to support your business.

They might specialise in admin, marketing, bookkeeping, or creative services - but they’re human, and they work just like any other team member (just without needing a desk in your office).

What Happens If They Get Sick or Take Leave?

At Strictly Savvy, every client is assigned a head VA and a backup VA. That means if your main VA is away sick or on holiday, the backup can step in without skipping a beat. We document everything in handbooks so the transition is smooth, and you’re not left hanging.

Freelancers may not have the same setup, so it’s worth asking before you sign on.

Can They Make Phone Calls, Buy Stuff, and Handle Sensitive Tasks?

Absolutely. VAs can make outbound calls using VoIP or a dedicated mobile. They can also purchase things on your behalf - from groceries to gold bullion (yes, really). We use secure password management tools like LastPass to keep your info safe, and access can be revoked at any time. For more about security while using a VA, check out episode 8 of the Get Savvy Podcast.

What If They Don’t Know How to Do Something?

With an agency like Strictly Savvy, you’re never relying on just one person. If your VA hits a task outside their wheelhouse, they can delegate it to someone else on our team who specialises in that area - no delays, no extra admin for you.

How Do Hours and Plans Work?

Clients are either on a monthly service plan or a flexi plan. Service plans include a set number of hours and are invoiced in advance. Flexi plans are billed at the end of the month based on the hours used. We track hours, keep you updated, and proactively check in to make sure you’re getting value.

Unused hours? During onboarding, we ask for a wishlist of nice-to-have tasks, so if things are quiet, your VA still has things to action.

Need more hours? Just let us know. If you’re on a 10-hour plan and need 15 this month, we’ll track it, check in, and only go beyond with your approval. It’s flexible and transparent.

What Tools Do VAs Use?

Strictly Savvy VAs are pros in tools like Office 365, G Suite, Xero, CRMs, payroll systems, project management tools, and more. If you’re using a modern business app, we likely know it. And if not? We’re quick learners!

And If It’s Not Working Out?

If there’s ever a mismatch, you can switch to a different VA - no fuss. And if your needs change, you can cancel with a month’s notice. Communication is key, and we’re here to make things work for you.

The Bottom Line

Working with a virtual assistant shouldn’t be confusing, risky, or rigid. It should be simple, secure, and genuinely helpful.

If you’ve been on the fence, take this as your green light to start small and see what’s possible when you’ve got the right support.
