You might have noticed we’ve been talking about automation a little more lately.
If that word makes you think of complicated software, impersonal systems, or something else you’ll be expected to set up and manage yourself, let’s clear that up first.
That’s not what we mean.
What automation actually is
When we talk about automation, we’re talking about simple rules and systems that handle repetitive steps in your business - the things that happen the same way, every time.
For example:
sending confirmations when a booking is made
following up when someone hasn’t replied
creating tasks when a quote is approved
nudging overdue invoices
In simple terms: when X happens, Y happens automatically.
No remembering, chasing, or telling yourself “I’ll do it later”.
Used well, automation doesn’t make a business feel rigid or impersonal. It makes it feel consistent (and a lot calmer).
Why we’re talking about automation now
Most of the stress we see in businesses doesn’t come from big, dramatic problems.
It comes from the small, ongoing ones:
half-finished tasks
follow-ups living in your head
being the backup system for everything
work creeping into evenings and weekends
Delegating these things to a virtual assistant is the obvious solution, and it works.
But over time, we noticed something else.
Even with great VA support in place, there are still tasks that:
happen frequently
follow clear rules
don’t actually need to be done manually every single time
That’s where automation comes in.
Not instead of a VA, alongside one.
Automation takes care of the repeatable steps, so your VA isn’t spending their time copying, pasting, or chasing.
Where your VA fits (and why this works)
In our model, automation is not something we expect you to design, build, test, or maintain. It’s something your VA manages for you.
Your VA:
identifies which parts of your workflow are worth automating
sets the systems up properly
keeps an eye on them as your business changes
and steps in whenever judgement, nuance, or a personal response is needed
Automation handles the predictable steps. Your VA handles the thinking.
The real benefit of this approach is capacity. When repetitive admin is handled automatically, your VA has more time to:
work ahead instead of reacting
take on higher-value tasks
spot issues before they become problems
and support you more proactively
For many business owners, this means they can delegate more than they initially thought possible - not just obvious admin, but tasks they’ve held onto because they felt too important or too connected to the bigger picture.
Automation doesn’t reduce the role of your VA, it elevates it.
So if you see us talking about automation… This is what we mean.
Smarter systems, set up and looked after by your VA, to make running your business feel easier.
If that sounds like something you’d be interested in implementing (or you’re curious about what this could look like in your business) you’re always welcome to get in touch. We’re happy to talk it through.
